Employers’ obligation to update contact details in the Unified State Register of Legal Entities, Individual Entrepreneurs and Public Organizations

  As previously announced in our legal alert, the Law of Ukraine No. 4412-IX dated 1 May 2025 (“Law”) came into force on 14 June 2025. The Law required employers to update information about their location (postal address) and contact details in the Unified State Register of Legal Entities, Individual Entrepreneurs and Public Organizations (“State Register”) by 14 August 2025. Recommended actions Employers must verify that the State Register contains up-to-date information about the legal entity, including a current email address and contact telephone number, in addition to its location (postal address), etc. If necessary, employers must update this data by submitting the required documents to the state registrar.   If there are further changes to the legal entity’s contact details, employers must ensure that these changes are duly recorded in the State Register no later than 10 calendar days from the date these changes occur.   Additionally, we recommend informing employees that the Law also imposes certain obligations on them. Specifically, in the event of a change in an employee’s contact details (address, telephone number, etc.), the employee is required to notify the employer of the relevant changes within a maximum of 10 calendar days. This should be done by sending the updated information to the employer’s postal address or email address indicated in the State Register. If the employee is unable to do so, they may send a text message to the employer’s official phone number as indicated in the State Register.
